Nexion is a leading provider of long-term care services. Nexion affiliates operate approximately 40 skilled nursing facilities located throughout Texas, Louisiana and Colorado. Over 4,000 dedicated caregivers provide a wide range of nursing and rehabilitative services to over 4,000 residents.
The Business Need:
Nexion Health Care Management faced an ongoing challenge for managing the Accounts Payable process throughout its more than 40 different locations. Their goals were to:
- Consolidation and Centralization of the Accounts Payable process to the Corporate office in Maryland.
- A solution that was tightly integrated with existing business applications: Microsoft Dynamics GP Financial Software and EMC's ApplicationXtender Content Management Solution.
- Reduce the amount of data entry through scanning software with OCR technology
- Streamline and automate the invoice approval process.
The Solution:
Michelle Beall, the Payables and Corporate Operations Manager for Nexion Health Management headed up the project and selected a solution from CSSI involving a tightly integrated suite of products including: CSSI's CoreIntegrator workflow solution and ReadSoft's OCR invoice scanning software. The integration to Microsoft Dynamics GP and EMC's ApplicationXtender was already part of the CoreIntegrator solution.
Nexion operates all business applications from a "hosted" environment using Citrix servers, so no matter where a user works, they have immediate access to both invoices for approval and historical documents for research purposes. Acting as both project manager for the implementation and now the administrator for CoreIntegrator, Michelle comments on the process:
"We started out with a limited deployment to my department only so we could properly test and learn the system prior to rolling it out to all our facilities. We now have more than 40 locations operating with a complete centralization of the Accounts Payable process. This reduced the need from an A/P staff in every location to a central staff of 8 individuals. This was accomplished both with a more efficient approval and tracking process but also with less data entry from the ReadSoft OCR scanning solution."
New Opportunities:
With the system now in place, Nexion provides all facilities with immediate and centralized access to all payables documents and supporting documentation (purchase orders, packing receipts, etc.). Through document level security, each facility is restricted to viewing only their own documents. Michelle continues,
"Our remote facilities can now look up an invoice, know when it's been paid and on which check number. We no longer overnight our invoices from every location each week as most invoices now get sent directly to our corporate office in Maryland - this gives us total control over the entire process from beginning to end."
